The annual imagineNATIVE Film + Media Arts Festival – the largest Festival of its kind in the world – is seeking a dynamic, detailed-oriented, media-savvy individual who wants to learn more about multi-platform communications and executing marketing projects. EVENTS TRAINEE JOB DESCRIPTION (Temporary, trainee position, contract staff)

REPORTS TO: Events Manager

The Events Trainee will support the Events Manager in planning, executing and reporting on all Festival related venues and events. This includes our main venue, the TIFF Bell Lightbox, in addition to related events before and during the Festival, including the Festival Hub, Welcome Gathering, exhibitions and all social events. The Events Trainee will learn incredibly valuable, on-the-ground training related to events management at the world’s largest Indigenous film festival. The successful candidate will be at the centre of planning a successful annual event that attracts 18,000+ Festival attendees (based on 2014 data). This position is an excellent opportunity for an individual interested in working in the arts administration sector.

The duties and responsibilities of the Events Trainee include but are not limited to:

Under the supervision and guidance of the Events Manager – and with oversight of the Executive Director and in consultation with the Events + Marketing Committee – the Events Trainee will assist in the planning, management & coordination of events for the imagineNATIVE Film + Media Arts Festival, including:

                Accompany and assist Events Manager to research, plan, visit, and book venues, equipment, talent, catering, technical personnel, supplies, and marketing materials for all Festival non-screening events including the Welcome Reception, opening night party, closing night awards, music night, filmmakers reception, and any other additional event as determined by the Executive Director;

                Create and revise room layouts for each event;

                Create and revise event agendas for each event;

                Assist in creation of an annual strategic event plan;

                Liaise and consult with service providers including venue managers, caterers, talent and any other personnel associated with Festival events;

                Learn how to negotiate the type and costs of services to be provided within a budget, and arrange payments/cheques for such services and talent;

                Liaise between the Events Manager and the Technical Director to coordinate the movement of equipment including speakers, projectors, screens, etc.;

                Assist to coordinate the movement of all equipment, talent, staff, catering, technical personnel, supplies, and marketing materials for all Festival events;

                Organize the set-up and tear-down of all Festival event locations with attention to layout, seating and décor and integrate the annual design campaign into events aesthetics;

                Will assist in running events during the Festival and act as the point-person in place of the Events Manager;

                Find solutions to problems concerning services, events or personnel and immediately advise senior management on matters requiring their attention;

                Maintain and update logistics charts and Festival timelines and disseminate this info to all staff (liaise with all staff to ensure accuracy);

                Under direction of Events Manager, oversee Events Assistants and volunteers;

                Learn how to develop events budget and timelines, develop budgets and timelines pertaining to specific projects, and manage expenses and revenue related to events in conjunction with the Executive Director.

 

Other:

                Assist as a team-member with basic administrative duties to ensure the office environment is professional and efficient;

                Post-Festival reporting, including outreach conducted for the Festival and updated contact lists;

                Participate in job-related training activities as necessary;

                Participate in job-evaluations, as necessary;

                Work directly with volunteers, artists and Board Members.

 

Qualifications:

                Strong, meticulous attention to detail;

                A willingness to be trained and an openness to receive and offer critical, practical feedback on processes and training;

                Comfort and familiarity with working with computer systems and applications (Excel, Filemaker) and processes (Word mail merge) (training will be provided but adeptness with computers is required);

                Ability to learn and navigate online applications (Zone Festival, Survey Monkey, etc.);

                Experience with basic web design and content management an asset (but not required);

                Friendly, professional, demeanour;

                Works well in a team, individually and without supervision;

                Commitment to work scheduled business hours is required;

                Strong communications and interpersonal skills;

                Can function in an often fast-paced work environment;

                A demonstrated interested in the arts, film, and Indigenous communities; and,

                An ability to work independently and as a team in a fast-past environment that requires multi-tasking, ability to think creatively on-the-spot, and a “what else can I do?” attitude.
